Privacy contact: help@coursedude.ai
Coursedude provides classroom recording, live transcription and translation, AI summaries, study notes, and knowledge Q&A. Course content may include your voice and personal information, as well as information about instructors, classmates, or other people. This Privacy Policy explains how we process personal information generated through Coursedude websites, desktop applications, mobile applications, and related services, and how you can manage it.
Please read the sections below before starting a recording, capturing system audio, or uploading course materials. Use of the Services does not mean that you agree to every non-essential processing activity. We will seek separate consent where it is required. Refusing optional processing will generally not affect functions that do not depend on it.
1. Information we process and why
We process the following information only to the extent needed to provide functions. The information generated depends on the functions you choose and the permissions granted on your device.
| Context | Information we may process | Purpose |
|---|---|---|
| Registration and sign-in | Email address, verification codes, and verification records | Create an account, verify identity, maintain sign-in status, and protect account security |
| Profile and settings | Nickname, avatar, course, school or major information that you provide, and source/target language and device preferences | Display your profile, organize courses, and save learning preferences; optional information need not be provided |
| Live recording and transcription | Microphone audio and device system audio that you actively capture, plus generated timestamps, transcripts, and translations | Perform live recognition and translation, enable playback, and create course records |
| Uploads and study materials | Audio/video, courseware, images, documents, notes, annotations, and file metadata that you choose to upload | Upload, store, parse, transcribe, organize, search, and export materials |
| AI functions | Transcripts, recording clips, questions, chat context, and course materials that you choose to process; model-generated summaries, answers, images, or other output | Create class summaries, knowledge Q&A, and learning-assistance content |
| Plans and payment | Plan, Quota usage records, order number, amount, currency, payment status, refund record, and necessary transaction identifiers returned by a payment provider | Enable benefits, settle and reconcile payments, provide support, and resolve disputes; we do not require your full card number or payment password |
| Security and support | IP address, sign-in time, device and application version, necessary error logs, and feedback, contact details, and communications that you send us | Prevent abuse, diagnose faults, respond to requests, and maintain service security |
If we wish to process personal information for a new purpose unrelated to the purposes above, we will provide separate notice and obtain consent where required by applicable law. We will not deny a basic function that does not depend on optional processing merely because you refuse it.
Where data-protection law applies, we process account management, transcription and translation you request, Quota billing, and order performance as necessary to perform our contract with you. We process legally required record retention and responses to lawful requests as necessary to meet legal obligations, and process security and anti-abuse information for our legitimate interests in protecting accounts and systems. Product improvement and model training using de-identified text and usage data are carried out under the applicable legal basis where permitted by law; where valid consent is required or withdrawal must be available, we will provide an appropriate mechanism. These bases do not automatically establish a lawful basis to process information about other people captured in a recording or special-category information.
2. Microphone, system audio, and file permissions
- We capture microphone or system audio only when you actively start the relevant recording function and grant the relevant system permission. Some operating systems classify system-audio capture as a screen-recording permission. Granting that permission does not mean we continuously collect screen content when you have not started a function that provides it. The recording state should be visible in the interface, and you can stop recording.
- When you upload courseware, images, or audio/video files, we process only the selected files and metadata needed to upload them. We do not gain access to every file on your device. If you turn off microphone, screen-recording, or file-access permissions, the corresponding functions may be unavailable, while other functions that do not depend on those permissions remain available.
- Under the Coursedude Terms of Service, you must determine the laws applicable where recording occurs and where relevant people are located, as well as any school, course, and venue rules. Where prior notice is required, before recording you must tell instructors, classmates, and other people who may be recorded about the recording and possible cloud transcription, translation, AI processing, and storage, and provide access to this Policy. Where consent or another authorization is required, obtain it before recording. Where both are required, do both. Avoid recording or uploading identification documents, health information, minor information, or other sensitive information unrelated to your learning purpose.
- For information about other people in a recording, we must still assess notice, legal-basis, and data-rights obligations imposed directly on us by law. Your contractual commitments do not automatically replace those obligations. Some places impose strict limits on recording non-public conversations without authorization.
- Some materials are stored locally on your device, while others are uploaded for cloud processing or cross-device use. Their deletion and backup mechanisms may differ. Clearing a local cache does not automatically delete cloud materials, and deleting cloud materials may require you to separately delete downloaded local copies.
- The website and applications may use local storage or essential cookies for language, sign-in status, and interface settings. We plan to introduce Google Analytics to understand feature use and improve the product. By default, we will not enable Google Signals, advertising features, Google Ads linking, or cross-domain tracking. If we later need to enable advertising personalization, remarketing, or another feature that may result in cross-site or cross-device tracking, we will first update this Policy and obtain consent where applicable law requires it.
3. AI processing and third-party services
- To provide transcription, translation, summaries, Q&A, or images you request, we may send the relevant audio, text, file segments, and necessary task identifiers to the appropriate service providers. The data sent is limited to what is necessary for the selected function, and different functions may use different providers.
- Our principal service providers are Soniox for speech transcription, Qwen for AI model processing, and Stripe for payment. Soniox and Qwen receive only the audio, text, file segments, and task identifiers necessary when you use the relevant function. Stripe processes the order and payment information necessary for payment. We configure Soniox and Qwen for learning-business data so that this data is not transferred to mainland China. Each provider processes received information under its own privacy policy and its agreement with us.
- We do not sell your course recordings, notes, or Q&A content. By using the Services, you authorize us to use de-identified text and usage data generated from course content to improve Coursedude and to train, test, and optimize Coursedude's own AI models. We do not use original recordings, original audio/video, original courseware, or other original course materials for this training. This authorization does not transfer rights you lawfully hold in the original content. You must have authority to grant this authorization for submitted content and its de-identification. Where applicable law requires additional consent for these purposes, we will provide the required mechanism.
- When you use Stripe to pay, Stripe processes payment information you provide directly under its own privacy policy. We receive only information needed for order confirmation, benefit activation, and security management.
4. Storage location, international transfers, and retention
- Coursedude account and learning-business data, including recordings, transcripts, translations, notes, chat records, courseware, and related backups, are stored and processed on servers in the United States and are not transferred to mainland China for storage or processing. We use Soniox's United States region for transcription and Qwen's United States region for AI tasks. Stripe and other payment providers process payment information under their own service arrangements.
- When processing involves an international transfer, we will complete the notice, contractual, security-assessment, certification, or other procedures required by applicable data-protection rules, and obtain separate consent where the law requires it. For data transferred from the EEA or the United Kingdom to the United States or another location without an adequacy decision, we will use an applicable transfer mechanism. You may contact us at the email below for information on the main processing locations, recipient categories, and safeguards relevant to your data.
- We retain information only for the period necessary to provide the Services, meet legal obligations, resolve disputes, and maintain security. Recordings, notes, and course materials are retained until you delete them or close your account. Records required for orders, payments, finance, taxes, disputes, and platform security are platform operating data; where there is no dispute or legal retention requirement, we delete or de-identify them within three months after the related business ends. Security logs and customer-support records are deleted or de-identified after their purpose ends, under the applicable retention schedule.
- Within three business days after account deletion takes effect, we delete account information and associated cloud recordings, transcripts, translations, notes, courseware, chat records, and backups. This does not include records necessary for orders, payment, finance, taxes, disputes, or platform security. Where there is no dispute or legal retention requirement, we delete or de-identify those platform operating records within three months after the related business ends. You must delete local copies on your device yourself.
5. Sharing, disclosure, and security
We share limited information with necessary service providers only to provide functions you request, process payment, meet legal obligations, respond to security incidents, or where you separately authorize it. Except as required by law, we do not sell personal information to unrelated third parties. If a merger, restructuring, or business transfer involves personal information, the recipient must continue to meet applicable data-protection obligations, and we will notify you where required by law.
We use technical and organizational measures appropriate to the risks, including transport protection, access controls, permission management, and operation records, to reduce the risk of unauthorized access, disclosure, loss, or alteration. No security measure eliminates all risk. If a personal-information security incident requires notice by law, we will notify regulators and affected users as required.
6. Your choices and rights
- Within the product's available capabilities, you may view and edit profile and language settings, manage courses, recordings, notes, and chat records, and delete an individual recording. An individual recording and its associated cloud transcript, notes, in-depth lesson explanation, and backups will be deleted within three business days after you delete it. You may also withdraw microphone or system-audio permission through your device settings. Withdrawal does not affect processing that was lawful before withdrawal.
- You may export transcripts, notes, and in-depth lesson explanations in PDF format. We do not currently support self-service download of original recordings, or self-service export of Quota usage details or bills. You may also use in-product functions or contact help@coursedude.ai to request access, copies, correction, deletion, export, withdrawal of consent, restriction of processing, objection to specific processing, or account deletion. The scope, identity verification, and response period are governed by the law applicable where you are located. We may verify your identity to prevent misuse of these rights.
- Once your account is deleted, you will lose account access. You must separately cancel automatic renewal in your account settings. Cloud learning-business data and backups are deleted within three business days after account deletion takes effect; platform operating data is handled as described in Section 4. Contact us at the email above if you need confirmation of the scope or progress of deletion.
- If you believe our processing does not comply with applicable law, you may contact us first or complain to a data-protection authority with jurisdiction.
7. Minors
Coursedude is offered only to users who are at least 16 years old. We do not intentionally collect personal information from anyone under 16. If we learn that a person under 16 has provided personal information, we will stop processing it and delete it or take other measures required by applicable law. A parent or guardian may contact us at help@coursedude.ai.
8. Policy updates and contact
If there is a material change to processing purposes, information categories, service providers, storage locations, or how you exercise your rights, we will notify you through the application, website, or another reasonable method. Where renewed consent is legally required, we will obtain it before the changed processing begins. We may send you notices relating to the Services, accounts, orders, and security, and may send product-update or promotional notices. You may unsubscribe from marketing notices that are capable of being unsubscribed from through the email or product-page method provided.
