Coursedude ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Coursedude desktop application and related services (the "Service"). By using the Service, you consent to the data practices described in this policy. If you do not agree with this policy, please do not use the Service.
2. Information We Collect
We collect the following categories of information: Information You Provide Directly: • Account information: name, email address, university/institution, preferred language • Profile data: avatar, academic major, year of study • Payment information: processed securely through our third-party payment processor; we do not store full credit card numbers • Support inquiries: messages you send to our customer support team Information Collected Automatically: • Usage data: features used, session duration, frequency of use, interaction patterns • Device information: device type, operating system and version, application version, unique device identifiers • Network data: IP address, approximate location (city-level), internet service provider • Error and performance data: crash reports, performance metrics, diagnostic logs Lecture and Academic Content: • Audio recordings captured during live lectures (processed locally or via our servers depending on the feature) • AI-generated transcriptions, translations, summaries, and notes • Course information and study materials you upload
3. How We Use Your Information
We use the information we collect for the following purposes: • Providing the Service: processing audio for transcription/translation, generating AI summaries and notes, syncing data across your devices • Account management: creating and maintaining your account, authenticating your identity, processing payments • Service improvement: analyzing usage patterns to improve features, fix bugs, and develop new functionality • Personalization: adapting the interface to your language preferences, optimizing AI models for your academic domain • Communication: sending service updates, security alerts, and (with your consent) promotional offers • Security: detecting and preventing fraud, abuse, and unauthorized access • Legal compliance: fulfilling legal obligations and responding to lawful requests from authorities We do not sell your personal information to third parties. We do not use your lecture content or notes for advertising purposes.
4. AI Data Processing
Coursedude uses third-party AI services to provide transcription, translation, and summarization features. When processing your audio and text data: • Audio data is transmitted to our speech recognition partner's servers for real-time processing and is not retained after the session ends • Text data may be sent to AI language model providers to generate summaries and answer your questions • We do not use your personal lecture content to train general-purpose AI models • You can choose to process certain features entirely offline (where available) to minimize data transmission • All data transmitted to AI service providers is encrypted in transit and governed by strict data processing agreements
5. Data Storage and Security
We implement industry-standard security measures to protect your data: • Encryption: all data is encrypted at rest (AES-256) and in transit (TLS 1.3) • Access controls: strict role-based access controls limit who can access your data within our organization • Infrastructure: data is hosted on encrypted cloud servers provided by reputable cloud service providers with SOC 2 Type II certification • Local storage: lecture recordings and notes stored locally on your device are protected by your device's native encryption • Regular audits: we conduct regular security assessments and penetration testing • Incident response: we maintain a comprehensive incident response plan and will notify affected users within 72 hours of discovering a data breach
6. Data Retention
We retain your data for the following periods: • Account information: retained for the duration of your account, plus 30 days after deletion to allow for recovery • Lecture recordings and notes: retained until you delete them or for 30 days after account deletion • Usage and analytics data: retained in anonymized form for up to 24 months • Payment records: retained for 7 years as required by tax and financial regulations • Support communications: retained for 3 years after resolution You may delete your content at any time from within the application. When you delete content, it is removed from our active servers within 30 days, though it may persist in encrypted backups for up to 90 days.
7. Data Sharing and Disclosure
We share your data only in the following circumstances: • Service providers: we share data with trusted third-party service providers who assist us in operating the Service, including cloud hosting, payment processing, AI processing, and analytics. These providers are contractually obligated to protect your data. • Legal requirements: we may disclose your data if required by law, regulation, legal process, or governmental request • Business transfers: in the event of a merger, acquisition, or sale of assets, your data may be transferred as part of the transaction; we will notify you of any such change • With your consent: we may share your data with third parties when you explicitly authorize us to do so We never share your lecture content, notes, or academic materials with third parties for their own commercial purposes.
8. International Data Transfers
Your data may be transferred to and processed in countries other than your country of residence, including countries that may have different data protection laws. When we transfer data internationally, we implement appropriate safeguards: • Standard Contractual Clauses (SCCs) approved by the European Commission • Data processing agreements with all service providers • Compliance with applicable data transfer frameworks By using the Service, you consent to the transfer of your data to these countries.
9. Cookies and Tracking Technologies
As a desktop application, Coursedude does not use browser cookies. However, we may use the following technologies: • Analytics SDKs: to collect anonymized usage statistics and crash reports • Local storage: to save your preferences and application state on your device • Device identifiers: to identify your device for licensing and synchronization purposes You can opt out of analytics collection from the Settings page within the application.
10. Your Rights and Choices
Depending on your jurisdiction, you may have the following rights regarding your personal data: • Access: request a copy of the personal data we hold about you • Correction: request correction of inaccurate or incomplete data • Deletion: request deletion of your personal data ("right to be forgotten") • Export: receive your data in a portable, machine-readable format • Restriction: request that we limit how we process your data • Objection: object to our processing of your data for certain purposes • Withdraw consent: withdraw any previously given consent at any time You can exercise most of these rights directly from your account settings. 11. Children's Privacy
The Service is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal data from a child under 16 without parental consent, we will take steps to delete that information promptly. 12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy within the application and sending you an email notification at least 15 days before the changes take effect. We encourage you to review this policy periodically. The "Last updated" date at the top of this page indicates when this policy was last revised.
